What does a transaction coordinator do in Maine?
Maine's standard contract counts in business days and ends each deadline at 5:00 p.m. Eastern, which shapes the whole job. A coordinator in Maine logs the Effective Date, works out each deadline from it in business days, and keeps the due diligence period, the financing terms and the closing date in front of the agent.
Around those dates sit the usual tasks: confirming the earnest money with the escrow agent, ordering inspections the buyer chose, collecting the seller's property disclosure, and feeding the title company or closing attorney what it needs to prepare the deed and the transfer tax declaration. In Maine, the Real Estate Commission has said in writing that an unlicensed assistant may do most of that clerical work.
Which purchase contract do Maine agents use?
The Maine Association of REALTORS Purchase and Sale Agreement. The association's forms are for members, but a signed copy of the 2025 revision, executed in November 2025, was posted publicly on the Town of Alna's website. The paragraph numbers below come from that copy. Check them against the version your agency uses, since forms are revised.
Paragraph 23 sets the counting rules. The agreement becomes binding when the last party to sign delivers a fully signed copy to the other, and that is the Effective Date. Unless a clause says otherwise, "days" means business days, excluding Saturdays, Sundays and observed Maine state and federal holidays. Counting starts the day after the Effective Date, and each deadline ends at 5:00 p.m. Eastern on the last day.
Which Maine deadlines does a TC have to calendar?
Deadlines in the Maine Association of REALTORS Purchase and Sale Agreement (2025 revision)
| Deadline | When it falls | If nobody acts |
|---|---|---|
| Due diligence (¶12) | Negotiated business days from the Effective Date | The contingency and the right to investigate are waived |
| Remedies short of termination (¶12) | Resolved in full within the same period | The contingency is waived |
| Earnest money | Delivered with the offer or within negotiated days | As the agreement provides |
| Any deadline (¶23) | 5:00 p.m. Eastern on the last business day counted | The deadline has passed |
The due diligence clause in paragraph 12 is stricter than many agents remember. A buyer unhappy with an inspection can terminate by written notice within the period. A buyer who would rather negotiate a repair or credit has to get that negotiation fully resolved inside the same period, or the contingency is waived. And an investigation not done in time is waived too. For a coordinator, that means the repair conversation needs its own reminder, well before the due diligence deadline rather than on it.
Business-day counting also moves dates around holidays, so a period that spans Thanksgiving week ends later than a calendar count suggests. Use our contract deadline calculator with business days selected, and write the resulting date and the 5:00 p.m. cutoff into the file notes so everyone works from the same deadline.
What does a Maine seller have to disclose?
A property disclosure statement, unless the sale is exempt. 33 M.R.S. §173 lists what it must cover, including detailed flood information: whether the property is in a mapped special flood hazard area, its flood zone and a copy of the map panel, past flood events and damage, flood insurance claims and any disaster aid for flood recovery. Paragraph 13 of the MAR form has the buyer acknowledge receiving the disclosure form along with state health information on arsenic in well water and treated wood.
A coordinator should check both acknowledgements are signed on day one, and that the flood map panel is actually attached where the property is in a mapped zone.
Who handles a Maine closing and the transfer tax?
Maine closings are run by a title company or a closing attorney, usually picked by the buyer. We have not found a statute requiring an attorney to conduct a Maine closing, so treat attorney involvement as a choice rather than a rule. Ask on day one which closing agent the buyer has chosen.
Real estate transfer tax is split evenly. Under 36 M.R.S. §4641-A, the tax is $2.20 per $500 of value, half on the seller and half on the buyer. For transfers on or after November 1, 2025, value above $1 million carries an extra $3.80 per $500. Maine Revenue Services says the register of deeds collects the tax at recording, based on a declaration of value, and a completed declaration must be filed to record the deed.
Maine transfer tax on three sale prices
| Sale price | Total tax | Buyer's and seller's share |
|---|---|---|
| $415,000 | $1,826 | $913 each |
| $614,950 | $2,706 | $1,353 each |
| $1,200,000 | $6,800 | $3,400 each |
What can an unlicensed TC do in Maine?
Maine has no transaction coordinator license, and the Real Estate Commission has published a clear note on unlicensed assistants. It lists permitted tasks that cover much of a coordinator's work, including:
- clerical work such as letters and filing
- answering calls and arranging appointments and showings
- assembling documents for closing
- ordering surveys, home inspections and wastewater system inspections
- entering MLS information at the licensee's direction
The same note lists what an unlicensed assistant can't do. They can't explain or discuss offers, contracts or other transaction documents, or offer opinions or negotiate. They also can't give advice on title, financing or closings beyond the time and place, or sign transaction documents. So an unlicensed Maine TC can book the inspector and chase the lender, but questions about what a clause means go to the agent.
The Commission sends any other questions about what an assistant may do to the agency's designated broker. That makes the designated broker the right person to sign off on a written task list before an unlicensed coordinator starts, and a short list agreed up front saves an awkward conversation later about who said what to the other side.
Which MLS will a Maine TC use?
Maine Listings, the statewide MLS. It is a subsidiary of the Maine Association of REALTORS and, according to the association, has more than 6,300 licensees entering listing and sales data. A 2026 MLS directory places it in South Portland and counts five associations it serves.
How busy is the Maine market?
The association's October 13 release reported 1,526 homes sold statewide in September 2026, 4.15% fewer than a year earlier. The median sale price rose 2.6% to $415,000. For the July to September quarter, sales were down 1.82% and the median was $420,000.
Maine home sales, September 2026 and the July–September quarter
| Area | Units sold | Median price |
|---|---|---|
| Statewide | 1,526 (−4.15%) | $415,000 (+2.6%) |
| Cumberland County | 1,018, Jul–Sep | $614,950, Jul–Sep |
| York County | 722, Jul–Sep | $566,500, Jul–Sep |
What does a transaction coordinator cost in Maine?
National TC firms list Maine at $450 flat per closed transaction and from $500 a side. When we read 20 published one-side prices on 19 October 2026, they ran from $300 to $550 with $400 at the median, and most came with no charge for a deal that fails. The fee calculator sets those prices against your yearly file count.
How do you hire a transaction coordinator in Maine?
Check what they'll do against the Commission's lists, and ask how they hand off anything that sounds like advice or negotiation. Ask whether they count deadlines in business days to 5:00 p.m. by habit, and how they keep repair talks inside the due diligence period. Ask about fees on deals that die, and compare their workflow with our coordinator checklist template.
Freelance TC, TC company or DeedSpring: which fits a Maine agent?
The table sets the usual options side by side. A good freelance TC is worth every dollar on a messy file. What most agents are really paying for, though, is someone who never misses a date and always chases the lender. Software does that on every file at once.
Ways to get transaction coordination in Maine
| DeedSpring | Freelance TC | Outsourced TC company | In-house TC | Virtual assistant | |
|---|---|---|---|---|---|
| What you pay | $19–$25 per closing, or $15 a month for one | About $300–$550 per side | About $350–$500 per side, some with monthly minimums | A salary, paid whether or not files close | By the hour |
| Who does the work | Software that reads the contract and drafts the chases for you to approve | One person, often a licensed agent | A coordinator from the firm's team | Your own employee | An assistant you direct task by task |
| Contract deadlines | Set from the executed contract, with every open file checked hourly | Kept in their own calendar | Kept in the firm's system | Kept in yours | Yours to set and watch |
| When volume jumps | Add closings, with no one to hire | Capped by one person's file load | The firm adds staff | You hire again | More hours |
To see what the gap means across a year of files, put your numbers into the TC fee per file calculator.
