What does a transaction coordinator do in Utah?
A Utah transaction coordinator follows a sale from Acceptance to Closing on the Real Estate Purchase Contract, or REPC. The form is approved by the Utah Real Estate Commission and the Office of the Attorney General, and the version in use was effective December 4, 2024. The form's own first lines say Utah law requires real estate licensees to use it, though buyer and seller may agree to change it or use another.
The REPC is short on deadlines compared with Colorado's CBS1. Section 24 has four dated blanks, and almost everything else is measured from them. That makes a Utah file easier to set up and harder to rescue, because each of those four dates carries several obligations.
A new REPC is on the way
At its September 23, 2026 meeting the Real Estate Commission approved a modification to a previously approved revised REPC and changes to three addenda. It voted 5-0 for an effective date of November 1, 2026, with mandatory use by January 1, 2027, subject to approval by the Attorney General's office. This page describes the December 2024 form. Coordinators should check the version printed in the footer of each contract they open between November and January.
Does a transaction coordinator need a license in Utah?
Utah's rule on personal assistants, R162-2f-401g, is specific. A licensee must get the principal broker's permission before employing an unlicensed assistant and must supervise them. The assistant's duties are limited to work that needs no license: clerical tasks, delivering documents as a courier, placing signs, having keys made and pulling public records.
Two clauses shape how a Utah coordinator can work. The courier exception holds only so long as the assistant doesn't discuss or complete forms or documents. And pay must be at a predetermined rate that is neither contingent on transactions closing nor set by sharing commission or splitting fees. A per-closing fee paid only when a deal funds is the arrangement this rule speaks to, so a broker should look at it before signing anyone up.
The rule was last amended effective May 25, 2022. It governs unlicensed assistants only. A coordinator who holds a Utah license works under the license rules instead.
Which REPC deadlines does a Utah TC track?
Key dates in the Utah REPC (December 2024 form)
| Event | Timing | Section |
|---|---|---|
| Buyer delivers earnest money | No later than 4 calendar days after Acceptance | Page 1 |
| Brokerage deposits earnest money | Within 4 calendar days of receipt | Page 1 |
| Seller disclosures delivered | Seller Disclosure Deadline | §7, §24(a) |
| Buyer cancels or resolves due diligence objections | Due Diligence Deadline | §8.1, §24(b) |
| Appraisal and financing cancellation | Financing & Appraisal Deadline | §8.2, §8.3, §24(c) |
| Settlement | Settlement Deadline | §3.1, §24(d) |
| Loan funds and recording | No later than 4 calendar days after Settlement | §3.2 |
Section 21 sets the clock. Performance on a stated date is due by 5:00 p.m. Mountain Time, not midnight, and days are calendar days counted from the day after the triggering event. Those dates don't bind title companies, lenders or appraisers unless they agree in writing. The contract deadline calculator and our guide to counting days by contract form cover the arithmetic.
How does closing work in Utah?
The REPC separates Settlement from Closing, and coordinators need both words straight. Settlement happens when the parties have signed and delivered the required documents to each other or to the escrow and closing office, and paid what they owe apart from loan proceeds. Closing happens later, when the lender has delivered loan proceeds and the documents have recorded with the county recorder. Section 3.2 gives those last two steps four calendar days after Settlement.
Under §6.2, the seller pays for the buyer's ALTA Homeowner's Policy of title insurance through the agency that issued the commitment. Earnest money goes to the brokerage, which deposits it in its real estate trust account.
Which associations and MLSs will a Utah TC work with?
The Utah Association of REALTORS publishes statewide market reports that draw on four MLSs: UtahRealEstate.com, Iron County MLS, Washington County MLS and Park City MLS. The association's forms committee also recommends REPC changes to the Commission. A coordinator with files in more than one of those MLS areas uses the same contract in each.
How is the Utah market doing?
The UAR report for September 2026, current as of October 10, showed a statewide median sales price of $530,000, up 1.9% from $520,000 a year earlier. Closed sales fell 11.9% to 3,516, and pending sales fell 26.8% to 2,744. UAR notes that its median doesn't account for seller concessions.
Utah statewide, September 2026
| Measure | Sept. 2025 | Sept. 2026 |
|---|---|---|
| Median sales price | $520,000 | $530,000 |
| Closed sales | 3,989 | 3,516 |
| Pending sales | 3,748 | 2,744 |
| Days on market until sale | 65 | 65 |
The pending figure is the one to watch. Pending sales are contracts that haven't closed yet, so a drop of more than a quarter points to fewer closings in the months after. Year to date, the median stood at $525,000 and closed sales were nearly flat at 34,147.
Salt Lake City, Provo, Ogden and St. George are covered on this page rather than on their own. The REPC, the assistant rule and the closing steps are statewide, so a separate metro page would repeat most of this one.
What is different about a Utah file?
Silence waives. If the buyer neither cancels nor resolves due diligence objections in writing by the Due Diligence Deadline, §8.1(c) treats the buyer as having waived the condition, and the earnest money becomes non-refundable except as the appraisal and financing sections provide. The appraisal condition in §8.2 works the same way.
A loan cancellation can split the deposit. Under §8.3(b)(i), a buyer who cancels over loan terms before the Financing & Appraisal Deadline gets back the earnest money except for an amount the parties wrote into the blank, which goes to the seller. Check that blank on every financed file.
5:00 p.m., not midnight. Colorado's CBS1 runs a day to 11:59 p.m. unless the parties set a time. Utah's REPC stops the clock at 5:00 p.m. on the stated date.
What does a transaction coordinator cost in Utah?
We didn't find a Utah coordinator publishing a price card. The public one-side cards we tallied nationally in October 2026 asked between $300 and $550. Keep R162's pay rule in mind when comparing them, since a fee owed only at closing may not fit it for an unlicensed assistant. The TC fee per file calculator compares per-file and salaried costs.
How do you hire a transaction coordinator in Utah?
Get your principal broker's permission first, which R162 requires. Agree a pay arrangement that the rule allows. Then ask whether the candidate is licensed, and if not, how they handle a client who asks them to explain a form.
A good Utah coordinator separates Settlement from Closing without being asked, flags the §8.3 split blank, and is watching for the new REPC's footer date. Our checklist template has the rest of the questions.
DeedSpring is a technology-based transaction coordinator. Once you upload a signed REPC it pulls the Section 24 dates, looks over each open Utah file every hour, and writes the reminder emails for you to send or edit. It has no Utah office or license and doesn't complete forms for anyone.
Freelance TC, TC company or DeedSpring: which fits a Utah agent?
The table sets the usual options side by side. A good freelance TC is worth every dollar on a messy file. What most agents are really paying for, though, is someone who never misses a date and always chases the lender. Software does that on every file at once.
Ways to get transaction coordination in Utah
| DeedSpring | Freelance TC | Outsourced TC company | In-house TC | Virtual assistant | |
|---|---|---|---|---|---|
| What you pay | $19–$25 per closing, or $15 a month for one | About $300–$550 per side | About $350–$500 per side, some with monthly minimums | A salary, paid whether or not files close | By the hour |
| Who does the work | Software that reads the contract and drafts the chases for you to approve | One person, often a licensed agent | A coordinator from the firm's team | Your own employee | An assistant you direct task by task |
| Contract deadlines | Set from the executed contract, with every open file checked hourly | Kept in their own calendar | Kept in the firm's system | Kept in yours | Yours to set and watch |
| When volume jumps | Add closings, with no one to hire | Capped by one person's file load | The firm adds staff | You hire again | More hours |
To see what the gap means across a year of files, put your numbers into the TC fee per file calculator.
