What does a transaction coordinator do in Wyoming?

A Wyoming transaction coordinator handles the administrative side of a sale between contract and recording: logging dates, scheduling inspections, routing documents for signature and keeping the title company and lender supplied. The standard residential form is the Wyoming REALTORS Contract to Buy and Sell Real Estate (Residential). The association says it prepares its forms with legal counsel and offers them to members through five transaction platforms: Form Simplicity, dotloop, BoldTrail/Brokermint, zipForms and SkySlope. Because the form is members-only, this page doesn't quote its terms.

The coordinator's real constraint in Wyoming is not the form but who they may talk to. The Real Estate Commission's guidance on unlicensed assistants draws a firm line on consumer contact, and that changes how a Wyoming file is run.

Does a transaction coordinator need a license in Wyoming?

Not for clerical work, but the limits are strict. The Wyoming Real Estate Commission's guideline on unlicensed individuals and personal assistants says assistants may complete forms prepared and directed by licensees, but should never independently draft listing or sales contracts or offer opinions, advice or interpretations. It points agents to W.S. 33-28-102(a)(iii).

The guideline lets an unlicensed individual:

  • draft documents and correspondence for the licensee to approve
  • schedule inspections and make appointments
  • deliver paperwork to other brokers
  • deliver paperwork to buyers or sellers once a broker has reviewed it
  • issue receipts for earnest money and sign for receipt of sales contracts

The prohibited list includes advice on a purchase contract, presenting or negotiating offers, answering questions about listings or any transaction item, and showing property. It also includes an item that shapes the whole job: an unlicensed person may not communicate with consumers about real estate transactions.

In practice that means an unlicensed Wyoming coordinator works through the agent and the other brokers, not directly with buyers and sellers about the deal. Status updates to clients should come from the licensee. Delivering reviewed paperwork is allowed, discussing it is not.

Pay is limited too. An unlicensed assistant may not receive a referral fee or a percentage of the licensee's commission. Commission rule 6-3(d) lets a licensee pay a personal assistant a salary directly, and says the responsible broker must pay a licensed assistant who is to receive a percentage of compensation.

Which Wyoming deadlines does a TC track?

The negotiated dates live in the executed contract. Take them from the signed copy and any counterproposals. Then add the two statutory items that touch every file: the relationship disclosure at the start and the statement of consideration at the end. The contract deadline calculator and our guide to counting contract days by form help once you have the dates.

Because an unlicensed coordinator can't discuss the deal with buyers or sellers, the file setup needs one extra column: who tells the client. For each date, note whether the agent will send the reminder or whether it is a delivery of paperwork the broker has already reviewed. That keeps the coordinator inside the guideline without letting a date slip because nobody owned the message.

What changed in the 2026 disclosure law?

The Legislature passed SF0105 in its 2026 budget session, effective July 1, 2026. It amends 33-28-306 on relationship disclosures. A licensee must give a written disclosure of the agency, intermediary or customer relationship before engaging in any discussion or arrangement incidental to a sale, and before any written agreement with a buyer or seller.

What SF0105 added to Wyoming's relationship disclosure

PointDetail
Customer statementA customer is not required to sign an agency agreement to view or tour a home during showings
ConfidentialityA customer is not afforded confidentiality in communications with the licensee
Refusal to signThe licensee may document the refusal with a signed acknowledgement and continue
Effective dateJuly 1, 2026
From Enrolled Act No. 37 (SF0105), 2026 Budget Session, as published by the Wyoming Legislature, read October 28, 2026.

For a coordinator, the change adds a document to check at file setup. On any file opened after July 1, 2026, look for the signed disclosure, or the licensee's signed acknowledgement that the party refused to sign it.

How does closing work in Wyoming?

Wyoming requires a sworn statement of consideration with every deed. Under W.S. 34-1-142, the grantee or their agent must swear to the names and contact details of both parties, the dates of transfer and sale, the legal description, the full price, the terms of sale and the value of any personal property included. The county clerk may not record the deed until the statement arrives.

The statement is not a public record. The statute keeps it confidential among the county clerk, assessor, county and state boards of equalization and the Department of Revenue. Laramie County's assessor tells buyers they will probably complete it at closing. A coordinator should make sure the buyer knows it is coming and that any personal property in the deal has an agreed value.

Which associations and MLSs will a Wyoming TC work with?

Wyoming REALTORS is the state association and publishes the forms with its legal counsel. Agents also belong to local boards. A coordinator should confirm which MLS each listing is in before setting up the file, since status changes are reported there.

How is the Wyoming market doing?

We didn't find a public statewide sales report from a Wyoming association for September 2026. The figures below come from Realtor.com's Wyoming market page, which draws on MLS-listed homes for sale. They describe listings, not closed sales.

What does a transaction coordinator cost in Wyoming?

No Wyoming coordinator we found posts prices publicly. Twenty public one-side price cards from around the country, which we read in October 2026, asked $300 to $550. In Wyoming the guideline rules out paying an unlicensed assistant a share of commission, and Rule 6-3(d) expressly allows a salary. Use the TC fee per file calculator to compare the two.

How do you hire a transaction coordinator in Wyoming?

Ask first whether the candidate holds a Wyoming license. If they don't, ask how they avoid discussing the transaction with your buyers and sellers, since the Commission's guideline bars it. Agree pay that the rules allow, and keep your responsible broker informed.

Then ask how they handle the SF0105 disclosure, the statement of consideration, and documents signed through each of the five form platforms. Our checklist for managing the work is a good starting script.

DeedSpring is a technology-based transaction coordinator. It works from the contract you upload, keeps the date list current, checks each Wyoming file once an hour, and drafts messages that go out only when you approve them, under your name. It has no Wyoming office or license and doesn't talk to your clients on its own.

Freelance TC, TC company or DeedSpring: which fits a Wyoming agent?

The table sets the usual options side by side. A good freelance TC is worth every dollar on a messy file. What most agents are really paying for, though, is someone who never misses a date and always chases the lender. Software does that on every file at once.
