Brokerage settings

Everything that shapes how your brokerage runs lives under Config: which sides you work, who sees what, which pipeline stages are on, the AI team, and — with Brokerage mode on — the back office: compliance review, commissions and offices. This article walks the Config tabs in order, then each back-office switch.

The Config tabs

Group · tabWhat is there
Your business · BusinessWhich side(s) of a transaction you act on; Larger organisations (teams under team leads, a brokerage-wide Overview); the Brokerage mode master switch.
Your business · Sharing and privacyThe role × scope grid: how far each roster role sees along closings, deals and clients.
How work runs · PipelineThe stages in order — Leads, Deals, Closings — each with what it includes underneath: enquiries, showings, offers and contracts, and the AI agent that works that stage.
Playbooks · Lead playbookThe operating model every new lead is copied from. Only listed while Leads are on (Pipeline page).
Playbooks · Deal playbooksThe buyer search and listing prep playbooks — only the sides you represent.
Playbooks · Closing playbooksThe buy-side and sell-side closing playbooks, and Add from library for your state.
How work runs · AIA switch and a brief for each agent: Lead Agent, Client Agent, Transaction Coordinator (the Compliance Reviewer's switch is on the Compliance tab).
Brokerage · ComplianceCompliance review, its three stages, AI first pass, broker sign-off, agent self-check, review templates.
Brokerage · CommissionsCommissions on/off, compliance-before-approval, who approves, commission plans.
Brokerage · OfficesOffices on/off, the office list, each office's state and policy.
Paperwork · Forms / SigningContract form libraries and bindings; the e-signature provider.
Communication · Client portal / Messaging / Email templatesWhat clients see; the numbers and mailboxes agents and AI send from, and who may send without review; the templates.

The Business, Features, Client portal, AI coordinator, Forms and Email tabs are covered in detail on Config; team roles and the basic Sharing grid on Teams & permissions. This article covers what Brokerage mode adds.

Brokerage mode

One switch on the Business tab opens the Brokerage group. Compliance, Commissions and Offices are then each switched on separately, so a single-office brokerage that only wants compliance review never sees a commission plan. Turning Brokerage mode off hides the group but keeps every review, statement and office exactly as it was.

Sharing and privacy

A grid: roster roles down the side, three scopes across the top — Everyone's, Their team's, Only theirs — set separately for closings, deals and clients. The role is set per person on the roster; the free-text job title (“Buyer's agent”) is just a label.

RoleAlways true
Workspace owners and buildersSee everything, whatever the grid says. Change someone's workspace role from the Users page.
Broker / adminCan be set to any scope.
Team leadAlways sees everything on a team they lead — "Only theirs" is not offered.
Transaction coordinatorAlways sees the closings they are added to, plus the deals and clients behind them.
AgentThe default role. Sees what they are assigned to.
AssistantAlways sees the files of the agents they support.
Compliance reviewerAlways sees every closing — the queue is the whole brokerage's files. The grid sets what they see of deals and clients.
FinanceSees everything a broker does (money needs the whole file), without the broker's delete. Locked to Everyone's.
Office adminAlways sees every record filed under their office; cannot be limited to only theirs.

The brokerage roles — compliance reviewer, finance, office admin — only appear in the grid, on the roster's role picker and in the nav while their feature is on.

Compliance review

A second pair of eyes on every file. Turn Compliance review on and DeedSpring opens a review per file at each stage you choose, runs a compliance queue, and records who approved what. It adds the Compliance page and the Compliance reviewer role.

SettingWhat it does
Listing complianceOpens a Listing review on the seller deal when the listing goes on the market — listing agreement, disclosures, agency paperwork. Follows Assist with preparing listings on the Pipeline page: with listing prep off, the stage is greyed out and no listing review opens.
Contract complianceOpens a Contract review on the closing when it goes under contract — the executed contract, deposit receipt, disclosures. Follows Write offers and create contracts on the Pipeline page: with offers off, the stage is greyed out and no contract review opens.
Closing complianceOpens a Closing review on the closing when it closes. This is the review that clears a file to disburse and gates commission approval.
AI first passThe Compliance Reviewer agent reads each document and flags what a human should look at. It never approves anything itself.
Broker sign-offAfter the reviewer approves a closing review, the managing broker signs it off before the file is cleared to disburse.
Agent self-checkAgents and coordinators see the checklist on the closing before they submit, so files arrive complete.
Review templatesWhat each review checks for — by side, by state, by financing. Edit the items, mark which are required, add your own.

The work itself

How a review opens, what the Compliance Reviewer flags, working the queue, deciding items, broker sign-off and editing templates are all on Compliance review.

Commissions

Turn Commissions on and agents can estimate their take, the brokerage approves per-closing statements and issues the disbursement authorisation (CDA). It adds the Commissions page and the Finance role.

SettingWhat it does
Compliance before approvalA statement can't be approved until the closing's Closing compliance review has passed (and, if on, been signed off).
Who approves statementsBroker only, or Broker or finance. Brokers can always approve.
Commission plansSplits, caps, fees and tiers — one plan per agent, with a default for new agents. Each plan has a Try it panel that runs a made-up deal through it.

The work itself

How a statement is calculated, caps, the money desk, estimate → submit → approve → CDA → paid, what agents see, and building plans are all on Commissions.

Commission is never on the closing file

The closing page has no commission tab on purpose. The money lives under Brokerage → Commissions, so a transaction coordinator, a compliance reviewer or a client can see the whole file without seeing anyone's pay.

Offices

Several offices, or several states: each office carries its own state policy for compliance and commissions. One office is created for you and used until this is on. Agents and closings are filed under an office; office admins see everything in theirs.

Office policy fieldWhat it drives
Title may pay agents directly at closingWhether a statement's CDA may choose "pay at closing" and instruct the closing agent to split the agent's share out at the table.
Commission rebates to clients allowedOff in the handful of states that ban rebates — the statement refuses a rebate line.
Compliance review SLA (business days)The due date on every review the office's files open (three business days if unset).
Paying an agent's entity · Earnest money is held by · deposit deadline · Closings are run by · File retention · Buyer agreement required before · Policy notesRecorded on the office as the brokerage's policy for that state, so reviewers, coordinators and the AI agents can read one place for how files are run there.

State guidance

Pick an office's state and a guidance panel appears with research notes for that state — direct pay, rebates, retention, EMD deadline, who runs closings, the broker review clock, buyer agreements. Apply proposed copies the suggested values onto the form in one go. They are research notes, not legal advice; confirm them with your broker.

The AI tab

Each agent has a switch and a brief — free text the brokerage adds to the agent's standing instructions (“we never quote a commission rate in writing”, “always copy the TC on title emails”), read on every run. The switches also appear under their stage on Config → Pipeline, marked with the agent's name; the briefs live here.

AgentSwitch and brief
Lead AgentAI Lead Agent + Lead follow-up brief (Pipeline: Automatically engage leads, under Leads). Disabled while Leads is off.
Client AgentAI Client Agent + Client service brief (Pipeline: Help engaging buyers and sellers, under Deals).
Listing CoordinatorAI Listing Coordinator + Listing prep brief (Pipeline: Assist with preparing listings, under Deals; not offered to a buyer-only brokerage). Also what the Listing compliance review follows.
Transaction CoordinatorAI Transaction Coordinator (Pipeline: Coordinate the transaction through to closing, under Closings). Off, the AI steps out: it doesn't run, its panels are hidden and its tasks are treated as the internal team's.
Compliance ReviewerIts switch is AI first pass on the Compliance tab, under Compliance review.

Turning an agent off stops it waking; it does not delete its threads or undo its work. See Enquiries, leads & the Lead Agent and Getting a listing to market for what each one does day to day.

Messaging

Under Communication → Messaging you connect the mailboxes (Gmail, Outlook) and texting numbers agents send from, and set what the AI may do with each address: Read only (it only reads), Draft for approval (it drafts, you approve — the default), or Autopilot (it can send on its own). Autopilot is the one setting on this page that changes what clients receive without a person pressing send, so it is set per address, never brokerage-wide.
