Config

Config is how your brokerage works: which side you represent, which services show up in the sidebar and the client portal, what teammates can see, whether the AI Transaction Coordinator is on and what it may send by itself, and the mailbox your email flows through. Changes apply across your team the moment you make them.

Open Config from Setup in the workspace sidebar. (It used to be called Settings; it was renamed so it stops blurring into the platform's own Settings gear lower in the same sidebar — see Using Settings for that one.) The tabs include Business, Sharing, AI coordinator, Forms, Signing, and Email & SMS. Flipping a switch never deletes anything — pages and nav items hide, records stay, and everything comes back when you turn it on again.

Business

Your business

Representation is the one control that shapes the Deals page. Pick Buy side, Sell side, or Both. This is not a feature switch — it is which pipelines exist:

  • Buy side — Deals shows a Buyer searches tab. Listing-only tools (Listing Management) are unavailable.
  • Sell side — Deals shows a Seller listings tab. Buyer-only tools (Property search) are unavailable.
  • Both — All deals, Buyer searches, and Seller listings sit as tabs on the same Deals page, and every side-specific feature below can be on for one side, the other, or both.

A buy-side deal still appears when you represent buyers, even if Property search is off — you just pick the engagement up later (offer or contract). Same idea on the sell side with Listing Management off.

Features — what each switch adds

Each feature adds (or hides) specific pages. Open a row to see what appears in the workspace and the client portal, and whether it applies to the buy side, the sell side, or both. All three are off on a fresh install — the app arrives as a closing portal and you switch on the parts of the business you run.

Sharing

Shown to workspace owners and builders only. A grid of who sees what, without touching the platform's permissions editor. Down the side are the roles on the Team roster — Broker / admin, Team lead, Transaction coordinator, Agent, Assistant — and for each you pick Everyone's, Their team's, or Only theirs. Under the grid, tick the record types it applies to: Closings, Deals, Clients. An unticked type is open to everyone. The grid applies to people with the Member role whose sign-in email matches a roster row, and the tab names them. Workspace owners and builders sit in a locked first row: they always see everything, whatever the grid says.

  • Only theirs for closings means closings they're the agent, coordinator or a collaborator on (or the deal's agent); for deals, deals they're the agent on, plus the showings, offers, and messages on those deals; for clients, contacts they own on the roster. Professional contacts (the other side's agents, lenders, title) stay visible to everyone.
  • Their team's adds everything filed under their own team. Needs Teams on the Business tab.
  • Some options are greyed out because the role already sees more: a team lead always sees everything on a team they lead, so they can't be limited to only theirs. A transaction coordinator always sees the closings they're added to — with the deals and clients behind them — and an assistant the files of the agents they support, on top of whatever column they're on.

Roles apply automatically — there is nothing separate to switch on. Pick the role on each roster row and the grid does the rest.

AI coordinator

AI Transaction Coordinator is a plain on/off switch. On, the coordinator works the AI-assigned tasks on every closing under contract, reads the mail on each file, drafts replies, and asks you when it needs a decision. Off, it steps out of the process entirely: it does not run, AI panels are hidden across the app (the AI Coordinator page shows it as switched off, the Ask AI button leaves closing headers, the With the AI tile leaves Today), and any task assigned to it is treated as the internal team's. The same switch sits at the top of the AI Coordinator page.

AI Transaction Coordinator

When off, the AI steps out of the process — it doesn't run, AI panels are hidden and its tasks are treated as the internal team's.

Sending on its own

For each way the coordinator reaches clients, choose whether routine messages — confirmations, reminders, status updates — go out by themselves or wait for your approval. Anything sensitive is always a draft.

Approve firstSends itself
Config → AI coordinator — the switch, then one Approve first / Sends itself control per channel.

Sending on its own decides, for each way the coordinator reaches clients, whether routine messages — confirmations, reminders, status updates — go out by themselves or wait for a person. One control per channel: Portal chat, and each of the coordinator's own addresses (its email, and texts where a number is set up).

  • Approve first (the default) — everything it writes lands as a draft in your Inbox and on the closing's Messages tab for you to send, edit, or discard.
  • Sends itself — routine messages go straight out under its own name. Anything sensitive or negotiable — money, contract terms, deadlines that move, bad news — is always a draft for you regardless of this setting.

Forms and signing

The form library is in the Settings gear, under Documents. Forms and the form library walks through that page. Signing on this Config page is whether the AI coordinator prepares a packet and whether it presses Send itself. See Sending for signature.

Email & SMS

  • Your inbox — Connect a Gmail account so the mail you send and receive lands on the right closing and the coordinator can draft replies in it. Each teammate connects their own; disconnecting stops the sync but keeps the messages already in the inbox.
  • Coordinator's addresses — what the AI coordinator sends and receives on. Rename the display name here; whether it may send by itself is on the AI coordinator tab.
  • Everything else — Open Messaging jumps to the platform's Messaging page for phone numbers, pausing an address, sharing a mailbox with the team, which contact fields inbound mail is matched against, and the test simulator.

Turning something off does not delete it

Switches hide pages and nav items. Records stay. Turn Showings back on and the calendar is where you left it. The same is true if you change Representation later — the other side's deals return when you represent that side again. Switching the AI coordinator off keeps its tasks, threads, and drafts too; they are simply shown as the team's until you switch it back on.
