Automations

Automations are rules that run in the background when records change, on a schedule, when someone clicks a button, or when an agent calls them. Open the list to see what is already there, what is still a draft, and what is live.

Open Settings, then Automations. The table is the whole picture: name, trigger, last run, recent activity, and status.

Search, filter, and group by folder. Status shows whether a rule is Draft or Active.

Read the list

  • Name is the rule plus a short description of what it does.
  • Trigger is when it fires — for example on a schedule, or when a Message, Milestone, or Contact record changes.
  • Last run, 24h, and Total tell you whether it has actually run.
  • Status is Draft until you switch it on, then Active.

Add or find a rule

1

Start a new one

Click New automation, or describe the rule in a thread and have the assistant build it. Every workspace already includes a few: the portal message relays (client → team email, team → client email), Milestone complete → activate the next, a showing-feedback chase, and enquiry intake.
2

Search and group

Use the search box, Filter, and Grouped by folder. Create folders when the list gets long. Show archived reveals rules you have put away.
3

Turn it on only when you mean it

Leave a rule in Draft until the trigger and the action look right. Anything that emails a real person is opt-in — confirm recipients and copy before it is Active.

Email and texts the AI Transaction Coordinator sends are not automations — they go through the Inbox and its approval settings (see Inbox, email & SMS). Ask the assistant in a thread to review the automations that contact a client, including wording.
